Terms of Service

The terms under which P4 Mail is provided.

1. The service

P4 Mail is a premium business email setup and management service operated by P4 One LLC, a New Jersey limited liability company ("we," "our," "us"). We configure custom-domain email, set up SPF/DKIM/DMARC records, migrate mailboxes, and provide ongoing managed support for the email infrastructure of customers who choose us.

We are not an email provider. The mailbox itself runs on a provider you choose — typically Google Workspace, Microsoft 365, or Zoho. P4 Mail is the setup, deliverability configuration, and management layer that sits in front of that provider.

2. Setup services (one-time)

Setup is a one-time engagement to stand up your business email correctly. Current tiers:

  • Launch — $149 one-time — domain email setup for one mailbox, SPF + DKIM configured, basic signature, send/receive verification.
  • Pro Deliverability — $299 one-time — everything in Launch, plus DMARC configured with policy guidance, reply-to and forwarding strategy, and a final verification review.
  • Elite Migration — $499 one-time — everything in Pro Deliverability, plus migration of up to three mailboxes from your prior system, folder and label strategy, and launch-day support.

Setup work is invoiced as a one-time fee. The engagement ends when your verified setup is live, unless you also enroll in a managed plan.

3. Managed services (monthly)

Managed plans keep your email infrastructure stable after launch. Current tiers:

  • Essential — $39/month — basic support, minor adjustments, DNS and routing health checks, deliverability guidance.
  • Pro Managed — $79/month — everything in Essential, plus DMARC reporting guidance, priority response, and a monthly check-in.
  • Elite Managed — $149/month — everything in Pro Managed, plus VIP response, spoofing-risk guidance, and a quarterly tune-up.

Add-ons (extra mailbox setup, signature design pack, DNS cleanup, advanced DMARC guidance, warm-up and outreach readiness, VIP support) are billed at the rates posted on the pricing page at the time of order.

Managed plans renew monthly. You can cancel before the next billing date to end the service at the close of the current period.

4. Provider licensing is separate

The cost of the underlying email provider (Google Workspace, Microsoft 365, Zoho Mail, etc.) is billed directly to you by the provider on the account you control. P4 Mail does not resell provider licensing. Provider pricing, terms, and acceptable-use rules are set by the provider, not by us.

5. DNS modification consent

Business email cannot function without changes to your domain's DNS — at minimum MX, SPF, DKIM, and DMARC records. By engaging us for setup or migration, you authorize us to add, modify, or remove the DNS records needed to deliver the service on the domain or domains you specify.

  • We document the changes we make so you have a record.
  • We do not remove unrelated records without checking with you first.
  • If you provide registrar or DNS-host credentials, you confirm that you are authorized to grant that access.
  • If your domain is managed by a third party (e.g., a previous developer or an IT vendor), it is your responsibility to coordinate access. Delays caused by third-party DNS gatekeepers are outside our control.
No guarantee of inbox placement. SPF, DKIM, and DMARC are configured to give your domain the strongest reasonable foundation for deliverability. However, inbox placement is determined by the receiving mail server (Gmail, Outlook, Apple Mail, corporate filters, etc.) based on signals we do not control — including the recipient's own filter rules, your sending volume, your content, your domain age, blocklist status, and ongoing engagement. P4 Mail does not guarantee that any specific message will land in the inbox rather than spam, promotions, quarantine, or other folders. Deliverability is a posture, not a promise.

6. Service availability

We aim for prompt response within the windows associated with your plan, but we do not guarantee 24/7 availability on setup or Essential plans. Pro Managed and Elite Managed plans include faster response posture as described on the pricing page. Underlying mailbox uptime is determined by your email provider, not by us.

7. Warranty disclaimer

The service is provided "as is" and "as available," without warranties of any kind — express or implied — including merchantability, fitness for a particular purpose, or non-infringement. Setup outcomes, deliverability behavior, and DNS propagation depend on third-party systems (your registrar, your DNS host, your chosen email provider, and the receiving mail servers your messages reach) and may change over time.

8. Limitation of liability

To the maximum extent permitted by law, our total liability for any claim arising from your use of P4 Mail is limited to the amount you paid us for the service in the twelve months preceding the claim. We are not liable for indirect, incidental, special, consequential, or punitive damages — including lost revenue, lost business opportunities, missed messages, spam-folder placement, deliverability fluctuations, or downtime caused by third-party providers or DNS hosts.

9. Acceptable use

  • Do not use email configured by us to send unsolicited bulk mail, spam, scams, phishing, malware, or any content prohibited by your provider's acceptable-use policy or by law.
  • Do not direct us to modify DNS for a domain you do not own or control.
  • Do not use the service to impersonate another person or organization.
  • Do not resell or rebrand our setup or managed services without written permission.

We may suspend or end any engagement that violates this section.

10. Refunds

Setup fees are billed for work performed and are non-refundable once the engagement has started. Monthly managed plans are not pro-rated; cancel before the next billing date to avoid the next charge. Add-ons are non-refundable once delivered.

11. Termination and offboarding

Either party may end a managed plan with written notice before the next billing date. On termination, we remove our administrative access from your provider and registrar accounts. Your domain, your mailboxes, and your data remain with the provider and registrar you control. We hand off any documentation of the setup we performed.

12. Changes to the service or these terms

We may update the service, the pricing, or these terms. The current version is always at this URL. Material changes that affect active customers will be communicated by email.

13. Governing law

These terms are governed by the laws of the State of New Jersey, USA, without regard to conflict-of-laws principles. Any dispute will be resolved in the state or federal courts located in New Jersey.
